[Ubuntu-SG] Minutes of Ubuntu Workshop prep meeting, Monday 2 March 2009 15:00 @ NUS

Hello All,
Ho Fucai, Kheng Hui Yeo & myself got together at NUS yesterday to work
on the upcoming Ubuntu workshop to be held at NUS in March. Here are my
notes from the meeting. Kheng Hui & Fucai, please add anything I've
missed.
Noting that our personnel are limited, and that our time for preparation
and presentation are limited by the approaching exams period, we
concluded that we should plan for a single, introductory presentation to
desktop Ubuntu use for a general audience.
Thus:
* We will drop the idea of a survey of participants. Kheng Hui
and Fucai both feel that the general level of exposure to all
things GNU/Linux at NUS is low enough that this will still be
attractive to many potential participants.
* We have tentatively scheduled the event for Wed, 25 Mar 2009.
This gives us more time to prepare. As well, we are requesting
use of the same room where the presentation will be held to be
reserved for us on Wed, 18 Mar. This will give us the
opportunity to test out our presentation on-site.
* Ho Fucai proposed the use of a Programming Lab for the
presentation. Thus, we would have networked desktop computers at
our disposal for the presentation. This will limit the available
seating and participation, so a formal registration process will
be necessary. Participants could still bring their own laptops,
so we might be able to expand increase the number of
participants if physical space is available in the PL.
We then assigned tasks as follows:
1. TUSG will create publicity posters. The posters should:
* Be PDFs appropriate for printing or email delivery;
* Be A4 size;
* Include the logos of each of our three groups as sponsors.
LinuxNUS and NUS-SoC Computing Club will provide TUSG with their
artwork.
2. Ho Fucai will determine permission to use the PL computers with
liveCDs. We want to make sure that we do not disturb the standard
environment of these machines. Their may be security concerns, and we
will need to address that.
3. Ho Fucai will make reservations for the PL for 18 March and 25 March.
4. Ho Fucai will determine the number of seats in the PL, and advise
TUSG of this for the registration process.
5. TUSG will create the registration process on ubuntu.sg or google
docs, according to our ability to do so. Our site would be preferable,
but if we run out of time, we will use google docs.
6. Ho Fucai will send out a mass mailing to the students of NUS-SoC
publicising the event, providing a link to the registration web page.
7. Kheng Hui Yeo will recruit assistants for the presentation from the
ranks of linuxNUS.
8. If interest and time permits, we will follow up with an advanced
workshop. For this we would definitely need an audience survey in
advance. Perhaps the thing to do would be to pass out an audience
feedback form at the end of the 25 March workshop.
