To: Ubuntu Oregon LoCo Team members,

*Sub: Regarding October 2015 release party:*

During our last Salem Ubuntu meeting, Cody and I checked on the
accommodations available at Broadway Commons, in case all of us decided to
hold October's release party in Salem, OR.

*To recap, for those who may not know:*

Broadway Commons is owned by Salem Alliance Church, more information at
http://www.salemalliance.org/broadway-commons/information, including who to
contact regarding hosting a non-Salem Alliance event.

The LoCo Salem Ubuntu Hour meets downstairs at Broadway Coffeehouse,
located inside the Broadway Commons building, owned by Salem Alliance
Church. Meetings take place bi-monthly, on the First and Third Friday of
each month at 6:00pm.

*Meeting Location:*
Broadway Coffeehouse:
1300 Broadway St Ne, Ste 100,
Salem, OR 97301

Broadway Commons houses several meeting rooms, with occupancies ranging
from 8 to 250 people. Smaller meeting rooms seat 8 people comfortably
(maximum of 10), require a minimum of 24 hours notice (via web-site) before
checking in. These smaller meeting rooms are FREE, as in Free-air, provided
the occupants purchase a beverage to go with their Free-air. LOL.

They are located just above the coffee shop on the second floor, however
these rooms (201-204) would NOT be suitable for our venue, because they to
are to small (holding only 8). I point them out as a courtesy to whomever
books our reservations, that these would be to small. Because at the last
release party I attended, at Puppet labs (12.04), they were about 20+
attendees. Please correct me if anyone has exact attendance records.

Larger conference rooms, more suitable to our venue, which accommodate 40
to 250 people, are also available at Broadway Commons. These conference
rooms require several weeks advance notice (via email) before checking in.
Like the smaller meeting rooms, these larger conference rooms are also
FREE, as in FOSS. LOL.

There is one caveat – for a larger conference room, we need to purchase
“Coffee Shuttles” (10 x 8oz cups for $15 per shuttle) plus 18% gratuity. As
an example; if 30 people attend, we would need to purchase 3 Coffee
Shuttles for a total of $53 including $8 gratuity. Although I'd recommend
20% gratuity, so we'd always be welcomed back, which comes to $54 for 30
people.

The larger conference rooms (Keizer, Africa, Mexico, Mongolia, Peru) all
have at least the following: 2- banquet tables, 6-round tables (8/table),
10-seminar tables (3/table), 60-chairs, mic, and computer hook-up,
including Internet assess.

For more information on each room's diagram, along with seating and
technical options, please take a peek at my shared Dropbox folder for
Ubuntu LoCo Oregon at the following link:
https://www.dropbox.com/sh/yvt935wa3lywzhq/AABYj52aQehWpnZe-P1ZMQlha?dl=0,
then brows to the folder “*Release_event_1510,*” and check out the PDF
found there.

*Additional Food and drinks:*

We may bring our own additional food, and drinks.
However – being it is owned by a Church, so it's probability not a good
idea to have alcoholic beverages, sorry no keggers :-(

*Additional snacks and pastries:*

If we need additional pastries - verses raiding Coffee shop, and their
customers of pastries, not that we'd ever do anything like that - they ask;
if we need additional pastries, to please let them know how many before
hand, so they can bump up their regular order. Pastries prices, are as
follows:

Muffins $3.00ea
Cookies $2.25ea
Trek Bar $3.50ea
Oatmeal $3.50ea
Biscotti $1.25ea
Scones $3.00ea
Fruit Bars $3.00ea

*Payment:*

We can pay Broadway Coffeehouse on the day of the event, prior to event
taking place, or we can make arrangements to pay in advance, using cash or
credit card. They also except PayPal credit cards.

*Conclusion:*

As I've said; I'm in favor of holding the release party at Mozilla, because
it's not every day your invited to a company, who has become an Internet
legend. And I graciously thank Benjamin for that opportunity, however I
must yield to the popular vote. Sure Salem is closer being in the middle
for most of you, however it's about $50 less to host it at Mozilla in
Portland. I'll leave it up to everybody to decide on a fair, and impartial
location. I'll simply provide the facts Cody and I found here in Salem,
it's up to you to decide where.

Thanks everyone, for contributing to a great operating systems.

Sincerely
Phillip. N
